Getting a parent into a care home isn't just finding the place — it's getting through the paperwork without the funding being delayed or reduced over a missing document. This guide sets out what you need, in what order, and where families slip up.
The documents you'll almost always need
Put one folder together with
- ID and NHS number for the older person.
- Proof of income and capital (pension statements, bank statements, property) — the council's financial assessment (means test) depends on it.
- Recent bank statements going back several years — deliberate deprivation of assets can be challenged, so gaps cause problems.
- Medical records: recent hospital discharge summary, medication list, GP details.
- Power of attorney documents if you're acting for your parent.
How the process works, step by step
- Ask the council for a needs assessment and, separately, a financial assessment. Below the capital threshold the council contributes; above it you self-fund.
- Check NHS Continuing Healthcare (CHC). If needs are primarily health-related, care may be fully NHS-funded — this is often missed.
- Shortlist several homes (right level of care, dementia unit if needed, CQC rating, a vacancy) and apply to more than one.
- Plan for the wait. Keep a bridge plan (respite or short-stay) if the place or the funding decision takes time.
Means test, CHC and thresholds: why they matter to the bill
- The financial assessment decides your council contribution: council funding thresholds explained.
- NHS Continuing Healthcare can fund the whole placement if health needs are high — worth pursuing and appealing: NHS Continuing Healthcare explained.
- Attendance Allowance can help with care costs regardless of the means test: Attendance Allowance for care costs.
The mistakes that delay or reduce funding
- Missing capital or income evidence → the financial assessment stalls.
- Not requesting a CHC assessment → you self-fund care the NHS might have paid for.
- Applying to only one home → a waiting list leaves you stuck.
- Waiting for a crisis → you pay full self-funder rates for months.
An easier way
Bottom line
Gather ID, proof of income and capital, bank statements and medical records; request both a needs and a financial assessment; always check NHS Continuing Healthcare; apply to several homes; and don't wait for a crisis. One missing form costs months.
