A family can accept a room quickly and only later discover that the service agreement, accommodation arrangement and optional services do not say the same thing. Australian rules give a resident a withdrawal period for the service agreement, but withdrawal is not a promise that every amount paid disappears or that another bed will be available.

Calculate services actually received
Match admitted days, meals, care, supplements, allied health, transport and optional services with records. Ask the home to distinguish required charges from voluntarily purchased items. A global final debit cannot demonstrate what the resident received.
Stop optional services precisely
Cancel salon, entertainment, premium dining, telephone or other optional services by name and date. Check whether they have separate notice periods. Withdrawal from the main agreement should not leave unrelated subscriptions running unnoticed.
Protect medicines and clinical handover
Obtain an updated medication chart, care summary, equipment list and upcoming appointments. Confirm who supplies medicine on the departure day. A billing disagreement must not interrupt clinically necessary treatment or conceal a new risk.
Inspect and photograph the room
Complete a joint condition check using the entry report. Record ordinary wear separately from damage and return keys or devices with a receipt. Ask for itemised evidence before accepting a deduction from accommodation money or another deposit.
Handle direct debit safely
Ask which final amount will be debited and when. Cancelling too early may complicate a valid final account, while leaving unlimited authority creates risk. Use a defined cap or alternative payment after reviewing the invoice where possible.
Compare staying with moving
Price the current home after correcting the disputed term and compare it with a confirmed alternative, transport and transition costs. The existence of a withdrawal right does not make a rushed move the best care decision.
Check representation and resident wishes
Involve the resident and verify who has authority to communicate withdrawal. The person paying the bill is not automatically the substitute decision-maker. Document capacity, preferences and the reason for the move without coercion.
Ask about referral incentives
A placement company or receiving provider may benefit from the move. Ask who pays commission and whether non-paying alternatives were considered. Financial disclosure should accompany, not replace, a comparison of care suitability and availability.

If the provider changes a term during the first month, ask whether it is a variation requiring agreement and how it affects the withdrawal decision. Do not let replacement pages erase the original agreement date or create contradictory fee authority.
Handle hospitalisation during the period
A hospital stay can consume much of the 28 days without testing ordinary life at the home. Ask how fees, leave and return operate and obtain advice before withdrawing. The calendar period and the resident’s physical presence are not necessarily the same.
Confirm the receiving provider first
Before a voluntary move, obtain suitability assessment, room, entry date, fees and transport from the new home. A shortlist or wait-list position is not a replacement bed. Keep the current care safe until the next admission is actually confirmed.
Preserve evidence of care quality
Keep incident reports, medication discrepancies, meeting notes and written responses. These records help explain the decision and final account. Do not secretly record private conversations without considering law, consent and the resident’s dignity.
